The Highpoint Dundalk Proton School Community Council Election Committee is excited to announce Executive Elections for the 2024/25 school year are now open!
Please read through to find descriptions of the positions available and how to nominate yourself, or someone else.
Chair:
• Set agenda in consultation with Principal and Council Members.
• Chair all School Council Meetings.
• Promote open dialogue between School Council members.
• Create a positive environment in which individual contributions are encouraged and valued.
• Maintain order during meetings and ensuring Council adheres to agenda topics and meeting
time.
• Communicate regularly with Executives regarding all School Council matters.
• Complete an annual report on the activities of the School Council.
• Consult with the Principal, Trustees, and Board Members on behalf of the Council as required.
• Be responsible for the content and production or delegation of any official correspondence and
communication of the School Council.
• Be responsible that all School Council initiatives that are voted on are carried out as per the
outcome of the vote.
• Verify the Financial Report and ensure that it is available to any parent/guardian upon request
• Create newsletters as needed.
THE CHAIR WILL HAVE SERVED ON THE COUNCIL AS A VOTING MEMBER OR GENERAL MEMBER FOR AT LEAST 1 YEAR PRIOR TO HOLDING THE POSITION OF CHAIR (IF POSSIBLE)
Vice Chair
• The Vice Chair will assist the Chair in carrying out his/her responsibilities.
• In the event the Chair is unable to fulfill any of his/her responsibilities, the Vice Chair shall act as
the Chair’s designate.
Treasurer
• Maintain an accurate, ongoing summary of current council funds in addition to the bank
records kept by the school administrative staff.
• Prepare and present a written monthly financial report at School Council meetings which
highlights the month’s debits and credits and current bank balance.
• Communicate regularly with school administrative staff to ensure that banking information
is accurate and up to date.
• Receive all receipts or invoices for reimbursement from council members and ensure that
they meet the requirements outlined in the Financial Policies for reimbursement.
• Collect a financial summary of income and expenses for each event or initiative sponsored
by school council, from the council member responsible for that particular event and share
those results as part of their monthly report.
• Collect, count and deposit all monies collected by council Prepare an annual financial
report for the school community.
Secretary
• Record minutes for all school council meetings or appoint a designate in their absence.
• Distribute, in a timely fashion draft copies of all minutes to council members for approval and
correct where necessary.
• Ensure that copies of all approved minutes are provided to the school principal(s).
• Collaborate with the chair and principal(s) to provide information for the school newsletter.
• Collect and maintain an email list of council members, and distribute emails to the list for
approved council matters including volunteer requests, email votes etc. as required.
• Assist in the preparation of any written communication and offer final approval for any written
communication distributed to the school community.
• Assist other executive members in preparing annual reports.
Each parent/guardian seeking election must be nominated or self-nominated in writing, must have a
child registered at the school, and must declare if he or she is employed by the school board. Please email your profile (confirmation that your child(ren) is/are registered at Dundalk and Proton or Highpoint, a little bit about yourself, position you are running for etc.) to sarajmcnulty@gamil,com by the 11pm on Sept 9th if you intend to run for a position at Highpoint. Or 11pm September 16th if you intend to run for a position at Dundalk & Proton.
